Client Guidelines

Rental Period & Pricing

All rentals are based on a 24-hour minimum period. Pricing quoted is for standard 24-hour rental. We happily provide free, no-obligation quotes tailored to your specific event needs.

Delivery, Pickup & Access Fees

Delivery and pickup services are available for a fee, quoted based on your event location and venue accessibility. We require a clear path for our crew at both delivery and pickup times, and a representative must be present. Additional fees may apply for obstacles such as stairs, long carry distances, or difficult loading zones.

Ordering & Reservations

A signed rental agreement and a 50% deposit are required to confirm your reservation and secure your items on our calendar. The final balance is due seven (7) days prior to your scheduled delivery date.

Cancellations & Changes

We understand plans can change. Cancellations made more than 14 days before the event date will receive a full deposit refund. Cancellations made within 14 days of the event will forfeit the deposit. Please notify us of any changes to your order as soon as possible; reductions in quantity made within 7 days of delivery may not be eligible for a refund.

Customer Care & Responsibilities

To ensure a smooth return process and avoid additional fees, we ask that tables and chairs be folded and stacked as they were upon delivery, unless you have purchased our premium stack-and-return service. All items must be kept in a secure, dry location. The customer is responsible for any loss, theft, or damage to the rental items beyond normal wear and tear.

Damage Waiver

A non-refundable Damage Waiver fee of 10% is included in your rental total. This waiver covers accidental damage to rented items, significantly reducing your liability. It does not cover loss, theft, intentional damage, or negligence (such as burns, stains from non-washable dyes, or missing items).

Weather Considerations

For outdoor events utilizing our portable heating, cooling, or tenting equipment, please note that performance is influenced by extreme weather conditions, proper enclosure, and site specifics. While our equipment is highly effective, we cannot guarantee a specific temperature range or complete climate control in open or semi-open environments.

Liability

Set My Scene, LLC’s liability is expressly limited to the replacement or repair of faulty equipment. We are not liable for indirect, incidental, or consequential damages, nor for injuries arising from the misuse or improper installation of rental equipment. It is the client’s responsibility to ensure the equipment is suitable for their venue and intended use.
